In short
- We collect the information needed to run a freight procurement and transport platform: who you are, which organisation you belong to, what you plan, bid, allot, drive and deliver.
- If you are a driver on an active trip, the mobile app reports your vehicle's location to the shipper and consignee for that trip. It stops when the trip closes or you sign out.
- We do not sell personal information, and we do not use it for advertising.
- We share it only with the other parties to your own freight, with the service providers that make the platform work (maps, SMS, push notifications, vehicle-registry checks), and where the law requires.
- You can ask to see, correct or delete your information by writing to info@ibidlogistics.com.
1. Who we are and what this covers
iBidLogistics ("iBidLogistics", "we", "us") operates the website at ibidlogistics.com and the iBidLogistics web and mobile applications (together, the "Services"). We are based at Erica, Flat 202, Nyati Equatorial, Pune, Maharashtra, India.
This policy applies to anyone who visits the website or uses the applications: staff of a shipping company, staff and drivers of a transporter, consignees following a delivery, and administrators. It explains what personal information we process and why. Where your organisation has signed a separate agreement with us, that agreement governs our relationship with the organisation; this policy governs our relationship with you as an individual.
Most personal information in the platform is entered by the organisation you work for, or by a counterparty to a freight, rather than by us. For that information the organisation decides why it is collected, and we process it on the organisation's behalf to deliver the Services.
2. What we collect
Information you or your organisation give us
- Account details: your name, mobile number, email address, role, and the company, transporter or branch you belong to. Sign-in is by a one-time passcode sent to your mobile number, so the number is required.
- Vehicle and driver records (transporters): vehicle registration numbers, vehicle type and capacity, driver names, driver mobile numbers and driving-licence numbers.
- Freight and trip records: pick-up and drop-off addresses and pin codes, material descriptions, quantities, expected and bid prices, allotments, gate events, proof-of-delivery documents and the photographs or signatures they contain, and invoices.
- Consignee details: the name, address and contact number of the party receiving a delivery, as entered by the shipper.
- Correspondence: anything you send us by email or through the contact page.
Information collected automatically
- Location from the driver's device during an active trip. Section 3 describes this in full.
- Device and usage data: the device type, operating system and app version, a push-notification token for the device, the time of sign-in, and the actions taken in the platform (for example who placed a bid and when). We keep this to operate the service, to keep an audit trail of auctions and allotments, and to diagnose faults.
- Server logs: IP address, request path and timestamp, retained briefly for security and troubleshooting.
What we do not collect
We do not process sensitive personal information such as financial account details, biometric data, health data or religious or political information. We do not buy or receive personal information about you from data brokers or other third parties. The one external check we run is described in section 5: a vehicle registration or driving-licence number entered by a transporter is verified against the government vehicle registry.
3. Location data during a trip
Live vehicle tracking is a core feature of the platform, so we want to be precise about it.
- Whose location: the device of the driver assigned to a trip, once the mobile app has been granted location permission.
- When: from the point the vehicle is assigned to a freight until the trip reaches its closed state. Outside an active trip the app does not report location.
- What for: to show the shipper and the consignee where their consignment is, to detect arrival at each stop by comparing the position with the stop's pin code (geofencing), and to record the journey against the trip for later review.
- Who sees it: the shipper that raised the freight, the transporter the driver works for, and the consignee for that delivery. Other transporters and other companies do not.
- Your control: location permission is granted and withdrawn in your device's settings. Withdrawing it stops reporting, though your transporter may require tracking as a condition of assigning you to trips.
4. How we use it
We use personal information to:
- create and secure your account and sign you in;
- run the platform: planning, auctions, counter-offers, allotment, vehicle and driver assignment, tracking, proof of delivery, invoicing and settlement;
- send you the notifications the platform generates, such as a new freight open for bidding, an allotment, a counter-offer, or a delivery update, by push notification, SMS or email;
- produce the analytics and reports available to your organisation, which are built from your organisation's own freight and trip records;
- keep an audit trail of bids, awards and deliveries, which the parties to a freight may need to resolve a dispute;
- detect and prevent fraud, abuse and security incidents;
- comply with law, and establish or defend legal claims;
- respond when you contact us.
We do not use personal information to build advertising profiles, and we do not send marketing messages to individual users of a customer organisation without their consent.
5. Who we share it with
| Recipient | What | Why |
|---|---|---|
| The other parties to your freight | Names, contact numbers, vehicle details, location during the trip, proof of delivery | A shipper, its transporter and the consignee each need to see the others' details to move and receive the load. This is the platform working as designed. |
| Google Maps Platform | Addresses and coordinates | Rendering maps, geocoding stops and estimating route distance. Governed by Google's privacy policy. |
| Vehicle-registry verification service (Vahan) | Vehicle registration and driving-licence numbers | Checking that a vehicle or driver added by a transporter is what it claims to be. |
| SMS gateway | Mobile number, message text | Delivering one-time passcodes and notifications. |
| Push-notification service (Firebase Cloud Messaging) | Device token, notification text | Delivering notifications to the mobile app. |
| Hosting and infrastructure providers | All data, encrypted in transit and at rest | Running the servers and databases the platform lives on. |
| Authorities and courts | What the law requires | Where we are legally obliged, or to protect the rights and safety of users. |
| A successor business | All data | If iBidLogistics is merged, acquired or its assets sold, with this policy continuing to apply. |
Our service providers are permitted to use personal information only to provide their service to us. We do not sell personal information, and we do not share it with anyone for their own marketing.
6. Cookies and device storage
The website sets no cookies. It stores a single value in your browser, your light-or-dark theme choice, and only after you click the toggle. The applications store a sign-in token and your workspace selection in your browser or device so you stay signed in. Third-party services embedded in the application, such as Google Maps, may set cookies of their own. Our Cookie Policy lists everything.
7. How long we keep it
- Account information: for as long as your account is active, then deleted or anonymised within a reasonable period after your organisation removes you or ends its subscription.
- Freight, trip, location and invoice records: for the life of your organisation's subscription, because they are the organisation's business records, and afterwards for as long as tax, accounting or other law requires.
- One-time passcodes: minutes.
- Server logs: a short rolling window, typically no more than 90 days.
Where deleting a record would break the integrity of another party's records, for example a bid that decided an auction, we retain the record but remove or anonymise the personal information in it once it is no longer needed.
8. How we protect it
All traffic between your device and our servers is encrypted. Access to data in the platform is controlled by role and by organisation: a user sees only the companies, branches, freights and trips they have been given access to, and the server enforces this on every request rather than trusting the app. Sign-in uses a one-time passcode rather than a stored password. Access to production systems is limited to the people who operate them.
No system is perfectly secure. If we learn of a breach affecting your personal information we will notify your organisation and, where the law requires, you and the relevant authority.
9. Your rights and choices
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is inaccurate or incomplete;
- delete your personal information, subject to the retention reasons in section 7;
- withdraw consent where our processing relies on it, for example location or push-notification permission;
- nominate another person to exercise these rights on your behalf.
Write to info@ibidlogistics.com from the email address on your account, or through your organisation's administrator. We may need to verify your identity. We will respond within the time the law allows and normally sooner. If your information was entered by your organisation, we may refer the request to it, because it decides how that information is used. If you are unhappy with our response you may complain to the Data Protection Board of India or the authority in your jurisdiction.
Notification preferences and location permission are controlled in your device's settings. Because the platform's own notifications are how auctions and deliveries are communicated, turning them off may mean you miss a bid window or a delivery update.
Some browsers offer a "Do Not Track" signal. There is no agreed standard for honouring it, and as we do not track visitors across other sites we do not respond to it.
10. Children
The Services are for businesses and their staff. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
11. Changes to this policy
We will update this policy when the product or the law changes. The date at the top tells you when. For a material change we will notify signed-in users in the application or by email before it takes effect.
12. How to contact us
